ICMA receives individuals’ professional contact details through this website or through other business contact with people. We hold and use this information with the following purposes:
- Marketing / mailing
- Improving our services
- Delivering membership/subscriber services
1. Marketing / mailing
ICMA uses information for mailing:
Marketing emailing lists are used to inform potentially interested parties of upcoming events, educational courses, workshops, etc.; and to provide people with relevant information about what we are working on, what is going on in the markets and free reports, newsletters or market survey results.
If you have expressed an interest in ICMA, or in events, educational courses or other activities that we are involved in, you may be added to our mailing lists. All of our emails contain a one-click unsubscribe option and an option to change your own contact preference categories so that you can choose which kind of mailings you would like to receive (e.g. events mailings, education mailings, regulatory policy).
In addition, you can click here at any time to remove or exclude yourself from our lists. You can sign up directly to the mailing list here, or change your preferences here. Alternatively you can email to subscribe or unsubscribe and we will do this for you.
• Membership mailing lists:
Membership mailing lists are official mailings to ICMA members, including some of the same information sent via our marketing mailing lists and also legal notifications, formal circulars and information or invitations only applicable to ICMA members. If you work for an ICMA member firm and would like to receive official membership notification via email, or if you are no longer wish to receive these emails please email subscribe, unsubscribe or contact the Membership department.
• ICMA European Repo Council mailing list:
The ICMA European Repo Council (ERC), under the auspices of ICMA, has a specialist mailing list for individuals who are related to the ERC or have a special interest in repo and have requested to be kept informed. Members and non-member firms are invited to submit their repo contacts to receive information, including the bi-annual ERC Survey, ERC meetings, repo related research papers and responses to consultations, from ICMA’s European Repo Council. Click here to sign-up. If you are on this list and wish to be removed, please email us.

3. Delivering membership / subscriber services
ICMA provides the following services and functions through its website and/or database:
• Online payments to ICMA
All online card payments made to ICMA are taken through a secure, professional service called Datatrans, so that we do not see or hold any of your credit/payment card information. No sensitive information of this kind is held by ICMA.
• Online registration
All of our online registration forms for events have an opt-out from our mailing lists.
• Log-in information
We use individual information for general website administration, such as managing log-ins for ICMA members and subscribers to ICMA’s services.
• Use of services
We may keep a professional history of people’s dealings with ICMA, such as enquiries to our legal helpdesk, attendance at ICMA events or courses; and queries to our Market Practice and Regulatory Policy team. This enables us to assess where to concentrate our efforts, the needs of our member firms and allows us to be more efficient in dealing with our members, subscribers and event delegates.
• Business contact
We may retain business contact information, so that we can contact parties with whom we liaise professionally.
• Members Register (use of and publication in):
The ICMA Members Register is a directory of all ICMA member firms. There is an online version which is kept up-to-date in real time and a hard copy version is printed periodically. Access to the Members Register is restricted to ICMA member firms and to those who subscribe to the online version or buy a hard copy.
ICMA Member firms may choose to publish the names, job titles and business contact information of some of their employees. This is done by the firms ICMA representative, known as the Principal Delegate, or other authorised personnel within the firm who have been nominated for administrative rights by the Principal Delegate. It is the responsibility of the member firm to obtain permission from its employees to publish their business details here and to keep their company’s record up to date. If you are an individual who is listed in the ICMA Members Register and wish to be removed, click here to see who your firm’s Principal Delegate is and they will be able to remove you with immediate effect. Alternatively, you can contact our membership department directly.
• Legal - Helpdesk and Conciliation & Arbitration proceedings
ICMA records details of enquiries to the Legal Helpdesk and of its Conciliation & Arbitration services. This correspondence and its particulars are normally restricted to responsible ICMA staff.
We do not hold any personal data that is not directly business related unless you have specified, for example, a personal email address to which you wish us to send you e-mails.
We do not give or sell your information to third parties except to members or non-member subscribers where a firm has published that information in our members register.
Our policy and practice is to protect the information that we hold via secure IT networks so that it does not become publicly available.
Interception of mail
ICMA may intercept some mail and email addressed to individuals in ICMA. The reasons it may do this are related to the security of ICMA, its staff and others; for detection and prevention of crime; to identify the correct recipients; or to make sure that mail is dealt with during staff absence. In the case of emails, we may reject, delay or remove content from emails which have a nature, content or attachments which may disrupt our systems or because they may pose security issues such as viruses. We may also filter out emails which contain certain content on the basis that content is potentially offensive or the email is unwanted or spam. In certain circumstances this may unfortunately result in "innocent" emails being affected but we do try and reduce such occurrences. Our anti-spam and security software is robust so if you get a bounce-back notification from a genuine email that you have sent to us, please do contact us and we will ensure that your address is added to our safe list to prevent this in future.
Security and staff awareness
ICMA has policies governing use of information technology by it staff. These cover areas such as access control, authentication, audit, monitoring, alarms, data storage and back up and transmission standards and environment integrity.
